Healthcare Data Entry ROI Calculator
How much time does your team spend re-keying patient, scheduling, or billing data between systems? Estimate what that manual data entry costs each year, and how quickly an integration would pay for itself.
What automation has delivered for our clients.
A nurse staffing platform covering license tracking, payroll, and bulk communications.
A patient-mediated EHR retrieval platform on Epic FHIR R4 and SMART on FHIR.
A Dentrix and EagleSoft integration, plus online booking for a multi-location practice.
These are client results, shown as a reference rather than a promise. See more on our healthcare software development page, or read the top EHR integration patterns.
How the calculator works.
- Weekly savings = hours per week × share removed × hourly cost
- Annual savings = weekly savings × working weeks
- Payback period = integration cost ÷ weekly savings
- 3-year net = annual savings × 3 − integration cost
The calculator only counts staff hours. It ignores fewer transcription errors, faster access to patient records, fewer denied claims from bad data, and time given back to patient care, so the real return is usually higher. It also ignores ongoing support costs, so ask about those when you compare quotes. Any automation that touches patient data must be built for HIPAA: see our HIPAA compliance checklist.
Questions about healthcare data entry ROI.
How is the healthcare data entry ROI calculated?
Weekly savings are the hours of manual data entry removed multiplied by the loaded hourly cost of the staff doing it. Annual savings are weekly savings multiplied by working weeks per year. The payback period is the integration cost divided by weekly savings.
What kind of healthcare data entry can be automated?
Common examples are re-keying patient demographics between an EHR and other systems, moving appointment and referral data, syncing practice-management and billing records, and tracking staff licenses. Anything typed twice into two systems is a candidate.
Can automation that handles patient data be HIPAA-compliant?
Yes, if it is designed for it: role-based access, encryption, audit logging, and PHI only where it is needed. Our healthcare builds include PHI redaction and role-based access control.
Which systems can be integrated?
Our work spans Epic (FHIR R4 and SMART on FHIR), Cerner, athenahealth, Open Dental, Dentrix, and EagleSoft. Whether an existing connector covers your needs or a custom integration makes sense depends on your workflow.
Is this a quote for an integration?
No. The calculator shows what removing manual data entry could be worth to you. The cost of an integration depends on your systems, data, and compliance needs, so we scope each project before giving an estimate.
